Dear Spartan Community,

I am pleased to announce the upcoming implementation of the CSUBUY Procure-to-Pay (P2P) system at San José State University. This important initiative is part of a broader CSU-wide effort to modernize and streamline our procurement and payment processes.

The CSUBUY P2P project will introduce powerful tools to automate and simplify the way we order, receive, and pay for goods and services. This system will consolidate currently disparate data and processes into a single, integrated platform—reducing manual touchpoints, increasing transparency, and enabling smarter, data-driven decision-making across campus.

What to Expect

CSUBUY P2P will transform the way we do business with our suppliers—from sourcing products to processing final payments. By shifting to a more automated and modern system, we’ll gain:

  • A seamless, end-to-end procurement experience
  • Enhanced visibility into spending at the product and supplier level
  • Consolidation of key external reviews (e.g., Independent Contractor, IT review) into a single, unified process
  • Reduced need for ProCard reconciliation
  • A more transparent and efficient experience for both end users and suppliers

This transformation also represents a cultural shift in how we approach purchasing and payment processes. It is an opportunity to align our practices with national standards while improving internal controls, compliance, and customer service.

Strategic Importance

CSUBUY P2P is a cornerstone of the Multi-University Collaboration Initiative (Multi-U) established by the CSU. Multi-U is designed to strategically address rising costs across the system by optimizing shared resources, increasing economies of scale, and enhancing service delivery—while continuing to meet the unique needs of each campus. This project will position us for future collaborative opportunities across the CSU and beyond.

Next Steps

Over the coming months, you will begin to hear more about the rollout of CSUBUY P2P and the support resources available to help you navigate the transition. As with any large-scale system implementation, we recognize there will be a learning curve, and we appreciate your patience, flexibility, and partnership throughout the process.

We are confident that the long-term benefits—including greater transparency, reduced administrative burden, and improved data visibility—will far outweigh the short-term challenges of learning a new system.
